A. Venue Information


The following shall be provided on booking the Venue

- Hire of Garden and Elegant Reception Lawns for one evening.
- Dance floor.
- Bridal Couple Stage.
- Band stand.
- Plastic chairs …….and……. Tables.
- Space for Bar counter.
- Separate Wash Rooms for ladies & gents.
- Pantry facility with kadappa counter.
- Parking area for approximately 100 cars with traffic control by trained and competent personnel.
- Basic halogen and decorative lights and bollards. Extra lighting will be provided by us at the respective rates to be confirmed depending on type lighting. (See Item No. D ).
- Complimentary use of One Green Rooms (changing rooms) with attached Bathrooms.


B) Government Service Tax

- As per the rules in force, the Mandap keepers are required to charge 12.24% Service Tax on the total services provided to the clientele. Such will be strictly observed and applied.


C) Mode of Payment

- Upon confirmation, an advance payment of Rs ………..will be required to be made. Balance payments will be duly calculated and the same shall be settled 7 days before the date of function.
- In case the booking is cancelled up to 60 days prior to the date of the function the amount will be refunded in full. For cancellations done between 30 – 60 days prior to the day of the function 50% of the booking amount will be refunded and for cancellations done less than 30 days before the date of the function no amount will be refunded.
- If issuing Cheques/Demand Drafts, please contact us beforehand for appropriate information and instructions.

D) Electrical Decorator / Contractor


Generator Hire Charges (125 Kva) Additional.

- The type of electrical decoration desired by the party must be confirmed with our Contractor.
- Observe first hand the type of lights and other electrical decorations set and make necessary changes with the contractor.
- All advances and payments to be made directly to the electrical contractor.
- The Management accepts no responsibility pertaining to the electrical decorator / contractors.
- The Management is not in a position to provide you domestic lights once the generator is disconnected. ONCE GENERATOR IS DISCONNECTED, THE CATERERS ARE ALLOWED HALF AN HOUR WITH DOMESTIC LIGHTS. AFTER WHICH ALL LIGHTS WILL BE SHUT OFF. THIS IS IN KEEPING WITH ELECTRICITY REGULATIONS.
- Caterer and his support team should vacate the premises with all their equipment by 12.30 am


E) Tables, Chairs, Pandals etc.

- Along with the booking of the venue chairs will be provided by us. Extra chairs & tables will have to be booked well in advance with our fixed contractor.
- During certain seasons pandals may be used. So request our fixed contractor for water proofing top cover.
- Arrangement of the chairs and tables on the lawns is the responsibility of the booking party. However strict care must be taken to ensure that the lawns and the hedges/plants are not damaged as a result of placement of the chairs and tables.


F) ICE CREAM

- In case Ice Cream is on the menu as a dessert, only Yummy Ice Cream will be served on the venue. Your personnel must collect the ice cream from our store at the site and you will be billed at wholesale rates on the ice cream issued.

- Scooping and serving of the ice cream shall be the booking party’s/caterers responsibility

- No other brand of ice creams permitted.

- Orders must be given at the time of booking of the venue to M/s. Foremost Frozen Foods, New Vaglo Building, Dr. Dada Vaidya Road, Panjim Goa. Tel. 2224137 / 2426328.


G) Dance Floor and Lawn Decorators.

- Contact any Independent outside Decorators and inform them the following.
- No digging permitted in or around the gardens/lawns due to underground irrigation.
- No decorator shall be permitted to fix iron nails to any tree in the garden, (strictly). Such actions damage our green heritage.
- Decorators will not be permitted to climb compound walls or other painted structures. They must bring their own stepladders to conduct their work.
- All bending wires so tied to various structures/objects or trees must be removed after the function.
- Decorators not allowed bringing their vehicles inside the main function area.
- The Management cannot wait indefinitely for the outside decorators to remove their decorations after the function. Therefore, a maximum of one hour is allowed after the function for such removals. Beyond that all lights will be shut off and gates closed.

H) Bar Arrangements

- The management does not accept any responsibility for breakages and missing glasses.
- Each caterer is free to setup these tables in any individual fashion in the space provided for the bar/drinks counter.
- The electrical decorator may be contacted for specific lighting arrangements.
- Caterers/decorators are free to add any other decorations so required/requested without disturbing the existing arrangements and without spoiling the lawn.

- Pandal, if required to be erected, has to be done strictly in consultation with our authorized person.
- Permission for Liquor Serving /Excise License will have to be procured by the booking party and a copy of the same will have to be deposited in our office 7 days in advance.
- The client must bring all alcoholic beverages on the same day and keep them at the space provided for the bar counter.
- Suitable personnel must be arranged to control and manage the bar during the function.
- The venue management will not supply glasses/wine glasses and trays.
- Arrange personnel for cleaning along with detergents.
- Bottle openers, wiping cloth etc. will have to be brought by the concerned agency, as we will not provide the same.


I) Traffic Control

- AGVA Hospitality Services shall provide competent personnel for traffic management and control.
- The hirers and their guests are requested to co-operate with these personnel to ensure that the directions regarding parking and traffic flow are adhered to in order to prevent traffic jams at the site of the venue and to maintain free flow of traffic.
- AGVA Hospitality Services provides one parking lot for parking of vehicles. The hirers and their guests shall ensure that all vehicles are parked in this parking lot and vehicles are not parked on the road.


J) Catering


- NO COOKING PERMITTED ON THE VENUE.

- IT IS COMPULSORY THAT THE CATERER HAS A MEETING WITH THE VENUE PERSONNEL FOR PROPER CO-ORDINATION.

- INFORMATION ON THE CATERER TO BE PROVIDED TO THE VENUE STAFF IN ADVANCE.


- FRESH WATER WILL BE AVAILABLE FROM THE GROUND LEVEL TANK AT THE PANTRY.

- THE PANTRY AREA MUST BE FULLY CLEANED BEFORE LEAVING THE PREMISES.


- ALL GARBAGE FROM THE KITCHEN MUST BE DISPOSED OUTSIDE THE PREMISES.

- NO CLEANING OF PLATES OR UTENSILS ALLOWED AFTER BUFFET IS CLOSED.


- ONCE GENERATOR IS DISCONNECTED, THE CATERERS ARE ALLOWED HALF AN HOUR WITH DOMESTIC LIGHTS. AFTER WHICH ALL LIGHTS WILL BE SHUT OFF. THIS IS IN KEEPING WITH ELECTRICITY REGULATIONS.

- CATERERS FAILING TO OBSERVE RULES OF THE VENUE WILL BE BLACK LISTED.


- IF THE CATERER FAILS TO CLEAN THE PREMISES, THE MANAGEMENT WILL CLEAN THE SAME AND BILL THE CLIENT; YOU ARE FREE TO DEDUCT SUCH AMOUNTS FROM THE CATERERS.

- INFORM THE CATERER TO PROMPTLY COLLECT AND CLEAR ALL USED PLATES WHICH ARE LEFT AT ODD PLACES WHILE THE BUFFET CONTINUES.

- THE CATERER WILL HAVE TO PROMINENTLY DISPLAY HIS/ HER NAME AND ADDRESS NEAR THE BUFFET TABLES.
- CATERER AND HIS SUPPORT TEAM SHOULD VACATE THE PREMISES WITH ALL THEIR EQUIPMENT BY 12.30 AM

- INCASE THE CATERER WISHES TO COOK IN A DESIGNATED AREA OUTSIDE THE PANTRY, PANTRY CHARGES OF RUPEES 3000/- (THREE THOUSAND) WILL HAVE TO BE PAID

K) Sound / Music

Procurement of Sound/music permission is the responsibility of the booking party and a copy of the same will have to be deposited in our office 7 days in advance.

- As per The Noise Pollution (Regulation and Control) Rules 2000 the Ambient Air Quality Standards applicable to our area Sound shall be permitted up to 50 dB (A) Leq only up to 10 pm.
- Ambient Air Quality Standards and timing have to be strictly adhered to.
- To obtain permission, please contact Collectorate, North Goa.
- Instruct your MC to closely monitor and follow-up with the band regarding ambient air quality standards.
- Please inform your MC to follow up with our security in the event any law enforcement personnel coming to the venue regarding sound permission so that your MC can coordinate with the host without creating a scene or embarrassment.
- These sound rules are for all venues in and outside Goa under Supreme Court Ruling and Central Government’s Environment Ministry’s instructions for State Government action.

L) Fireworks

- No Fire Works will be permitted on the venue


M) Function Timing

- As per Government Rules the function should wind up by 12 midnight.


N) Green Rooms ( Changing Rooms)


- Complimentary use of One Green Rooms (changing rooms) with attached Bathrooms will be provided, an hour before the function time.

- The Green Room will have to be vacated on the Same Day after the closure of the function.

- An Inventory of the furniture and fixtures in the rooms will be provided at the time of handing over of the rooms. The same will have to be handed back to our personnel in good condition and order at the time of vacating the rooms.
